1. Foreword: This is the privacy policy of CITA, asbl, with registered office at 1040 BRUSSELS, Rue Du Commerce 123.
Below CITA gives you information on the way in which we process data of our customers, visitors and of the users of our website.
CITA is responsible for the processing of your personal data. With the utmost care we will process your data to meet the applicable laws and regulations (the Belgian Act of 8 December 1992 on the protection of privacy in relation to the processing of personal data, hereinafter referred to as the “Privacy Act”, and any other applicable regulation, such as the GDPR, the General Data Protection Regulation).
At all times you may find and read the most recent privacy policy on our website. The current version was updated on: March 22nd 2018.

2. Privacy policy 
2.1. – Your personal data: Within the context of our products and services, and whenever you make contact with us, we will record your personal data, which includes for example name, address or e-mail address, telephone number, your personal preferences and interests. If you make a contact online, for example, through the contact boxes on our website; we record your IP-number.

2.2. How is your personal data processed?
2.2.1 –  If you sign up for our newsletter, contact us per telephone, e-mail or online per contact box, or if you book an event, product or a service with us, it is possible that we will disclose and process your personal data on our servers in Belgium in order to be able to perform our agreement with you. For instance, we have to forward your personal data to our employees who will deliver the actual services/products you entitle us to. We wish to point out that the supervision of data protection is in compliance with the GDPR.

2.2.2 – We may also forward your personal data to companies acting on our behalf as data processor within the meaning of the Privacy Act, or to public authorities in Belgium and abroad in order to meet our legal obligations or as a courtesy to them.
The processing referred to under 2.2 of this policy takes place for the following purposes: administration, customer service, relationship management, quality management, company and business management, reorganisation/restructuring of our company, risk assessment, safety, fraud and crime prevention/detection, control, research and analysis, marketing, product and service development, settlement of disputes, credit control and debt collection.

2.2.3 – CITA may use your e-mail address for the purpose of informing you on relevant CITA issues and inviting you to CITA events. The advertising tool software for this usage is MailChimp.
We use MailChimp to manage our newsletter and other email lists. There’s no third-party tracking in messages we send through MailChimp besides MailChimp’s own analytics. These analytics may aggregate how many subscribers open a message or click the links inside. MailChimp’s privacy policy is available at http://mailchimp.com/legal/privacy.
In addition, CITA store your e-mail address to inform you on CITA publications and other issues concerning your membership with CITA (book-keeping, invoices).

2.2.4. –  Your personal data will allow us to contact you from time to time and/or provide you (directly or indirectly) with information about promotions for our services (or services offered by other entities of the CITA group), new products, events or meetings organised by us. We can adjust the information we send or make available to you, so that you will receive personalised information. We intend to keep your personal data updated. When you have contacted CITA, as customer, member, collaborator or interested individual, we assume that you agree to us sending you publicity and direct marketing material via e-mail/text messages or ordinary mail for the purposes indicated under 2.2 of this policy. You may opt out of this direct marketing by sending us an e-mail.

2.2.5. – CITA will not forward your personal data to third persons or commercial marketing companies that are not part of the CITA Group for other commercial purposes.

2.2.6. Website server logfiles: The provider of the website collects and saves automatically data in so called “server logfiles” which the browser transmits automatically, such as:

– Browsertyp and Browserversion
– used operating system
– Referrer URL
– Hostname of the accessing personal computer
– time of the server-access
– IP-Adress

This collected data is not merged with data of other sources.

3. Your rights – You are at all times entitled to have access to these data, to correct correctable data or opt out to their use. These changes will be free of charge. You can address your written request in this respect, accompanied by a copy or your identity card, to CITA at the above-mentioned address. We will comply with your request within 30 days.
The provision of electronic services is important to us. If you subscribe to an (electronic) newsletter, you give us permission to use your e-mail address to send you the (electronic) newsletter as well as other information, such as events. You can exercise your right to object to direct marketing by clicking to confirm that you no longer wish to be contacted by e-mail upon receipt of a commercial message.
You can unsubscribe from our newsletter by clicking on the unsubscribe link provided at the end of the newsletter. You can also email secretariat@citainsp.org to update your email address, or to request that we delete your email from the newsletter subscription.

4. Data Protection
Only authorised persons have access to the data that are relevant for the performance of their services. CITA has taken the required technical and organisational measures in order to ensure the confidentiality of the data provided by you. CITA guarantees that in case of misuse of your personal data caused by proven failures of our protection devices, we will assume our responsibility and pay a compensation for any losses you may have incurred as a direct result of these failures.
Please be aware that the transmission of data over the Internet (for example when communicating by e-mail) may not be entirely secure. It is not possible to fully protect data from third-party access.

4.1. Data protection policy for the use of Facebook plug-ins (“Like” button) –  Our site contains plug-ins for the Facebook social networking site, 1601 South California Avenue, Palo Alto, CA 94304, USA. Facebook plug-ins can be recognized by the presence of the Facebook logo of the “Like” button on the site. When you visit our site, a direct connection is created between your browser and the Facebook server. Facebook is then notified that you have visited our site using your IP address. 4.2. Data protection policy for the use of Twitter – The functions of the Twitter service are integrated into our website. The use of Twitter and the “Retweet” function links websites visited by you to your Twitter account and makes this known to other users. 4.3. Data protection policy for the use of Youtube – On our websites you will also find integrated plugins from YouTube, which is owned by Google Inc., 901 Cherry Ave, San Bruno, CA 94066, USA. As soon as you visit one of our websites with a YouTube plugin, your browser establishes a connection to the YouTube servers. The YouTube server is then informed about which of our websites you have visited. If you are logged in to your YouTube account, YouTube can add your surfing behavior directly to your personal profile. This does not happen if you have already logged out from your YouTube account. 6. Cookie policy: In order to provide you with the best possible service, we make use of cookies on our website.
6.1 Google Analytics – To improve the Services and your experience on our site, we may collect aggregate usage data from the Services and our website, including number of page views, visitor browser types, operating systems, or the links clicked to navigate to and from our site.

7. Changes to this policy – We may make small, inconsequential changes to this policy with or without notice to you, so you’re encouraged to review the policy from time to time.
